Accounting Integration

Salesforce + QuickBooks Integration

Connect Salesforce to QuickBooks so a closed-won opportunity becomes an invoice without anyone retyping it — and so reps can see what's been paid without interrupting finance.

What Does This Integration Do?

Salesforce owns the pipeline; QuickBooks owns the money. Without a sync, someone re-keys every won deal into QuickBooks as an invoice, and every “has this been paid?” question from a rep becomes an interruption for the finance team.

This integration keeps customer records aligned between the two systems, turns closed-won opportunities and approved quotes into QuickBooks invoices, and pushes invoice, balance, and payment status back onto the Salesforce account so sales can answer their own questions.

The architecture hinges on your QuickBooks edition. QuickBooks Online has a cloud REST API and supports near real-time flows. QuickBooks Desktop has no cloud API — it's reached through the Web Connector on a polling schedule, which makes Desktop syncs closer to batch than instant.

What Syncs, and Which Way

Most Salesforce + QuickBooks projects sync the same core objects. We agree the system of record for each one before anything is built.

How We Build It

Salesforce's APIs are strong on both sides of the sync. The QuickBooks edition decides most of the architecture.

ApproachWhat it isBest forWatch out for
Salesforce REST & Bulk APIRecord-level and batch access, plus Platform EventsTriggering on close, syncing large account volumesDaily API call limits by edition
QuickBooks Online REST APICloud REST API secured with OAuth 2.0Modern builds on QBO, near real-time invoice creationRate limits; production app review before go-live
Web Connector (Desktop / QBXML)Intuit tool that exchanges QBXML with the local company fileQuickBooks Desktop reached from a cloud CRMPolling schedule only; runs on the host machine
iPaaS connectorsPre-built templates on Celigo, Workato, or ZapierStandard opportunity-to-invoice flows going live fastSubscription cost forever; templates bend only so far

The truth most vendors won't tell you: if your flow really is opportunity → invoice → payment status on QuickBooks Online, a pre-built connector is a fine answer and we'll help you configure it. Custom middleware earns its cost when Desktop, multi-entity company files, or approval logic enter the picture.

How Much Does It Cost?

A Salesforce + QuickBooks integration typically costs between $4,000 and $18,000 to implement, depending on edition, object count, and direction.

ApproachImplementationOngoing
One-way opportunity to invoice$4,000 – $8,000Support retainer only
Bi-directional accounts with payment status back$8,000 – $13,000Platform subscription if an iPaaS is used
QuickBooks Desktop or multi-company build$12,000 – $18,000+Support retainer only, no platform fee

The number moves most on whether you're on QuickBooks Online or Desktop (Desktop's Web Connector adds setup), object count, and whether records sync one-way or bi-directionally. We quote a fixed price after a scoping call, so you know the cost before we write a line of code.

How Long Does It Take?

The biggest schedule risk is duplicate customer records across the two systems — which is why matching rules and a de-duplication pass come before any build work.

3–4 weeks

Standard CRM to books flow

Accounts and won opportunities creating QuickBooks invoices, status back.

6–8 weeks

Bi-directional / Desktop build

Two-way master data, Web Connector setup, approval logic, multiple entities.

What Does Our Integration Process Look Like?

Every engagement follows the same five stages — you get a fixed-price scope and a mapping sheet you sign off before we build.

1

Discover

We map your Salesforce objects, QuickBooks edition, and the system of record for each.

2

Map

We document every field, direction, matching rule, and error case before building.

3

Build

We implement against a Salesforce sandbox and a QuickBooks sandbox or test file.

4

Test

We run real deals end to end — amendments, credit notes, duplicates, and failures.

5

Support

We monitor after go-live, with alerting, logging, and a named contact.

Frequently Asked Questions

Through Salesforce's REST, Bulk, and Platform Event APIs on one side, and the QuickBooks Online REST API — or the Web Connector for Desktop — on the other, orchestrated by an iPaaS or purpose-built middleware.

Yes, through the QuickBooks Web Connector using QBXML. It polls on a schedule rather than syncing instantly, so Desktop flows are closer to batch than real time.

Usually QuickBooks, because billing lives there — but sales creates prospects in Salesforce first. We define a promotion point where a Salesforce account becomes a QuickBooks customer.

Yes. Invoice status, balance, and payment dates are pushed back onto the Salesforce account or opportunity, so reps stop asking finance for updates.

Most projects run $4,000 to $18,000 depending on edition, object count, and direction. See the cost table above for a full breakdown.

Yes. Rescue work is a large share of our practice — stalled connectors, duplicated accounts, and integrations that no longer match how the sales process actually runs.

Ready to Connect QuickBooks to Salesforce?

Every won deal retyped into QuickBooks is a delayed invoice and another interruption for finance. A scoped integration removes that work permanently — and you'll know the exact cost before we start.
